Check AI meeting minutes before a suggestion becomes a decision

Compare each recorded decision and action with the meeting evidence. Preserve proposals, conditions and unresolved questions as such, then ask the meeting owner to resolve anything the record cannot establish.

Choose the record you are checking against

Start with the notes or other meeting record your organisation permits you to use. Keep a copy of that source unchanged. Record the meeting date and the files included, including any corrections received afterwards. An agenda explains what people intended to discuss; it does not establish what they decided.

Decide who will review the draft and how the organisation approves minutes. AI can help prepare a draft, but the organisation's normal review and approval process still applies.

Check the revised draft as a whole

A correction in one paragraph may leave a contradictory action in the summary or action table. Search the revised document for the affected date, item and owner. Check the title and meeting date as well. Keep the final action list consistent with the body of the minutes.

Ask another reviewer to explain the next step using only the revised minutes. If they understand a different decision from the one supported by the source, the wording needs attention. Record who resolved each question and keep the approved version in the normal meeting-record location.
